• Due to unexpected events, you are going to be away from the office for a few days and you don't have time to alert all your clients. We can: send an e-mail to your clients; set up an autoresponder for your e-mails (or attend to your e-mails while you are away); divert your phone to ours; answer the phone in your name and relay messages to you etc...

• You're traveling on business and you need to change your travel plans. You call us, we contact the airlines, hotels and hire car company to make the necessary arrangements and e-mail, text message, fax or phone your new itinerary to you, your colleagues, your spouse.

• You have appointments with clients and you need to confirm those bookings for the current week. You can forward your diary to us by e-mail or fax. We will contact your clients, confirm or reschedule your appointments and e-mail or fax your updated diary. If you use an online diary, we simply access your data and let you know when the task is complete.

• You're standing on a corner in an unfamiliar suburb and you need to get to your appointment - you know it's not far away, but you're not exactly sure of the location. You can call us and let us know where you are and where you need to get to. We'll let you know the quickest and/or easiest way to reach your destination.

• You're on the road and you need to send an urgent fax. You can call us, dictate the fax and we'll send it out immediately on your letterhead.

You can call, fax or e-mail through the details of a quote, we'll prepare it on your letterhead and send it through to your client or potential client either by e-mail, post, or fax. If you quote frequently and/or have a large number of components to your quotes, we can help establish a database or other tools to streamline your quotation process.

Being behind in invoicing can have serious impacts on your business – cash flow problems, losing track of where you are standing financially and strained relations with your customers can be just a few.

getting paid
OK...so no-one likes chasing outstanding debts....but statistics show that the longer a debt is outstanding, the less likely you are to collect. It's also much easier if you're not trying to maintain an ongoing relationship AND collect outstanding amounts at the same time. We can assist by:

• Providing reminder letters or statements at specified times

• Initiating polite calls to establish when your client will pay and following up if payment is not received as expected.

• Keeping you up to date with who has paid, who is experiencing difficulties in paying and who is playing games!

• When you are paid, we can also bank those funds and, if we also maintain your accounts, we can enter details into the ledgers.
